Guide overview

Welcome to the Indexly user guide. Indexly is a universal search app for Shopify Admin that lets you find any order, customer, product, or custom field value from one dedicated search bar — including data stored in metafields, metaobjects, line item properties, order notes, and more.

What you'll find here

  • Getting started — Install Indexly and run your first bulk sync so your store data is ready to search.
  • Searching — How to use the search bar, understand grouped results, and see exactly where a match was found.
  • Configuration — Choose which resource types to index and keep your index up to date.
  • FAQ — Common questions about data freshness, privacy, and troubleshooting.

How it works

Indexly maintains its own searchable index of your Shopify store data. When you search, it queries that index rather than making live API calls across every resource type, which means results come back fast even for large stores.

  1. After installing, Indexly performs an initial bulk sync — pulling your existing orders, customers, products, variants, metafields, and metaobjects into the index.
  2. From that point on, webhooks keep the index up to date automatically whenever records are created or changed in Shopify.
  3. You enter a value — such as a PO number, warranty ID, SKU, or customer reference — into the search bar, and Indexly returns grouped results showing the matched record and exactly which field contained the value.

The most important part of every result is the match context — not just which record matched, but where in that record the value was found.
